How I redesigned IDcore with features that reduced the time it took to onboard vendors by 40%

Background

ID core is an onboarding tool that is used by residential property management companies like ResProp. They use this software to screen, verify, and make sure the vendor has the necessary insurance requirements in order to work on their properties.

Problem

The current Saas product utilized by project managers, procurement professionals, and general contractors for vendor verification, compliance, and talent sourcing suffers from a cumbersome user experience, impeding efficient navigation and prompt issue resolution with vendors. The process of vendor discovery, policy document uploading, compliance tracking, and status updates is excessively manual and time-consuming for project managers and procurement teams.

Goal

The objective is to develop a streamlined interface (within a 2 week sprint cycle) that enables efficient tracking and management of vendors within the database. This will empower procurement teams and general contractors to swiftly locate, manage, and engage compliant vendors for their projects.


Discovery

To gather insights for improving the dashboard, I began by engaging with the current power users. Through interviews and user flow walkthroughs, I identified their major pain points and determined essential and desirable features. Conducting a heuristic analysis, I further identified UX/UI issues and ideated solutions for these product inconsistencies. 

Based on these findings, I created a comprehensive feature list for enhancements. To prioritize these features, I organized an exercise with the project managers, where they ranked the severity and release cycle priority of each feature, ranging from priority 0 to priority 2.

Design

In addition to ideation and sketching, I conducted an analysis of ID core's compliance management competitors, examining their information architecture and user flows. This allowed me to gain valuable insights into industry best practices. Moreover, I performed a comparative analysis of saas dashboards across various industries to understand common design practices and determine how information is typically organized. This comprehensive research provided me with a broader perspective to inform the design process and ensure an effective information architecture.

Development

Collaborating closely with our team's machine learning expert Matt Lee, we aimed to devise a solution that would facilitate the swift submission of vendors' insurance documents and ensure compliance for project managers. Instead of relying on the manual review of each document, Matt developed a powerful "COI extractor" utilizing machine learning technology. This extractor parses the submitted documents, automatically verifying the presence of essential insurance limits and endorsements required for ResProp management. By leveraging ML capabilities, we streamlined the process and significantly reduced the time and effort involved in assessing document compliance.

Highlighted Features

Improved Dashboard Layout

I revamped the dashboard's information architecture, improving its organization and usability. Additionally, I introduced a quick glance view for users to easily assess the total number of vendors and their classifications, along with new sorting mechanics to expedite the management of compliant and pending vendors.

Enhanced Compliance Visibility

Significant improvements were made to the layout of policy documents to enhance scalability. Procurement can now easily upload a single file and assign it to relevant policies, eliminating the need for multiple uploads. Furthermore, the updated system provides real-time status updates from both procurement and machine learning, providing specific details on non-compliance issues within the policy document. These enhancements streamline the process, saving time and enabling better visibility into compliance status.

Vendor-Side Feature

I created a vendor-side feature within the software, providing vendors with a user-friendly interface to view their compliance status and upload necessary documents effortlessly. Vendors can conveniently access information regarding specific coverage requirements that need attention and understand the reasons behind them. Additionally, with just one click, vendors can swiftly send missing insurance requirements to their brokers, streamlining the communication process.

This re-design initiative presented a valuable opportunity for me to enhance my UI skills specifically in Saas products and allowed me to implement a streamlined and efficient re-design process within a two-week sprint. Collaborating with the power users of the dashboard was a delightful experience, as it provided me with profound insights into their common user flows and the essential features of the product. This enabled me to promptly compile a comprehensive list of requirements and prioritize the wants and needs for the redesign project.
